This privacy policy explains how Prime Rentals ("we", "us") collects and uses personal data when you use our website, make an enquiry or booking, or apply to rent one of our long-let properties. We handle personal data in line with the EU General Data Protection Regulation (GDPR) and Malta's Data Protection Act (Cap. 586).

What we collect

Long-let rental applications

When you apply for a property we collect: your name, email address, phone number, date of birth, citizenship, gender (optional), work details (employment status, employer and profession), the number of occupants and children, whether you have pets or smokers in your household, your preferred move-in and move-out dates, intended rental duration, your reason for moving and how you found us (optional), and the property you applied for.

Enquiries and bookings

When you contact us or book a stay we collect the details you give us, such as your name, contact details, travel dates, number of guests and messages you send us.

Website use

Our website may use cookies and similar technologies that are needed for it to work, and, where you allow it, to understand how the site is used.

Why we use your data

  • To assess your rental application and decide whether to offer a tenancy (steps taken at your request before entering into a contract).
  • To contact you about your application, enquiry or booking, including arranging viewings.
  • To manage bookings and tenancies once agreed (performance of a contract).
  • To meet legal obligations, for example tax, accounting and rental-registration requirements.
  • To run and improve our website and services (our legitimate interests).

Submitting an application does not reserve a property or confirm a tenancy. We do not use your application for marketing, and we do not sell your personal data.

Who we share it with

Your data is only seen by our staff who handle lettings, and by service providers who process it on our behalf under contract, including our website host (Webflow), our email and document systems (Microsoft 365 and Front), and booking platforms you book through. Where property owners we manage need to approve a tenant, we may share the information necessary for that decision. We may also share data where the law requires it.

Some of these providers may process data outside the European Economic Area. Where this happens, they rely on appropriate safeguards such as the European Commission's Standard Contractual Clauses or an adequacy decision.

How long we keep it

  • Unsuccessful or withdrawn applications: deleted within 12 months of the decision.
  • Successful applications: kept for the length of the tenancy and afterwards for as long as legal, tax or accounting rules require.
  • Enquiries: kept for up to 12 months unless they lead to a booking or tenancy.

Your rights

You have the right to access your personal data, correct it, ask us to delete it, restrict or object to how we use it, and receive a copy of data you gave us. To use any of these rights, email info@primerentals.com.mt. We reply within one month.

If you are unhappy with how we handle your data, you can complain to Malta's Information and Data Protection Commissioner (IDPC) at idpc.org.mt.

Keeping your data safe

Applications are stored in access-restricted systems that only authorised Prime Rentals staff can open. We do not ask for identity documents or bank details through our website forms.

Changes to this policy

We may update this policy from time to time. The date at the top shows when it was last changed.
